OPPORTUNITY
NGP Capital is looking for an energetic and proactive Executive Assistant to provide comprehensive support to two partners in our US office while co-managing workplace operations. The person selected for this position will help maintain a productive and welcoming environment for the dynamic, twelve-person team. In addition to core administrative duties, the Executive Assistant will be involved in ad hoc projects and event support with the marketing team. This position is crucial in contributing to the overall success and image of the firm and our portfolio companies. This role requires an on-site presence at our Palo Alto office four days per week.
RESPONSIBILITIES
Administrative:
- Manage complex calendars and schedule meetings across time zones
- Handle expense reports for two partners
- Coordinate international and domestic travel for partners
- Communicate with portfolio companies and prospective entrepreneurs
- Provide back-up admin and finance support when needed
Operational:
- Serve as the point of contact for office vendors and guests
- Maintain a well-stocked and organized kitchen and conference rooms, ensuring a comfortable and functional environment for employees and guests.
Events and Marketing:
- Plan and execute 3-4 team-building activities annually for the US team
- Assist in the planning and execution of US marketing events working closely with the Sr. Marketing Manager on the following:
- Venue accommodations and logistics, including coordinating partner availability
- Production and distribution of marketing print materials for events
- Contract submissions, vendor coordination, and payment processing
QUALIFICATIONS
- Minimum of 5 years of experience in an administrative support focused role, with a preference for history of supporting senior or C-suite executives or senior partners in venture capital or similar roles
- Proven ability to build and maintain strong relationships with clients and vendors
- Dependable, self-aware, and professional, with a high level of energy and enthusiasm
- Demonstrates maturity while maintaining a proactive and positive attitude
- Exceptional written and verbal communication skills
- Detail-oriented and efficient in managing tasks
- Ability to provide exceptional customer service
- Self-motivated and highly driven
PREFERRED, BUT NOT MANDATORY
- Intermediate skill level in PowerPoint
- Familiarity with industry-standard project management frameworks (e.g., Scrum, Kanban) or the ability to quickly grasp project management basics
- Interest in technology, products and startups
