We are seeking an experienced and detail-oriented Medical Records Manager to oversee the maintenance, security and accuracy of patient health records in compliance with legal, regulatory and ethical standards. The ideal candidate will ensure the efficient management of health information systems, supervise medical records staff and collaborate with the clinical team to support quality patient care and data reporting.
Responsibilities:
- Oversee the daily operations of the medical records department, ensuring accurate, timely and secure record ingestion.
- Maintain compliance with federal and state regulations, including HIPAA.
- Stay current with changes in health information management laws, regulations and technologies.
- Supervise, train and evaluate the performance of medical records staff (currently 5 FTEs).
- Build staffing model, identify hiring needs and hire new staff as needed.
- Develop and implement policies and procedures for managing health information and electronic medical records (EMR) systems.
- Execute on processes for lab and medical record ingestion and medical records requests, supporting the achievement of SLAs (including pitching in when needed to ensure team remains on track).
- Monitor and report on metrics related to departmental performance (staff and technology).
- Identify and escalate tool limitations and advocate for enhancements (business and risk cases for improvement, efficiency impact, etc.).
- Partner with internal product team and third party vendors to design and implement new and improved solutions. Test and validate implementation of new tools and systems.
- Given the sensitive nature of health information, maintain strict confidentiality at all times and diligently follow HIPAA guidelines and processes to ensure protection of Protected Health Information (PHI).
- Perform according to Vida's QA and Compliance guidelines in order to provide a safe and consistent experience for Vida members.
Qualifications:
- Associate’s or Bachelor’s degree in Health Information Management, Health Administration or related field (RHIT or RHIA certification preferred).
- Minimum of 3-5 years of experience in health information or medical records management, with direct supervisory experience.
- In-depth knowledge of healthcare documentation, EMR systems and HIPAA regulations.
- Excellent organizational, leadership and communication skills
- Strong attention to detail and data accuracy.
- Proficiency in using tele-health technology and also cloud technology such as Slack, Google Suite and Zoom.
- Ability to multitask and prioritize in a fast-paced environment.
